Exhibitor Terms and Conditions

1. Registration and Payment:
a) All exhibitors must complete the registration process and submit the required payment by the specified deadline.
b) Booth assignments are made on a first-come, first-served basis upon receipt of payment.

2. Cancellation and Refunds:
a) Cancellations made before 30 days to the event will receive a full refund.
b) No refunds will be provided for cancellations made after 30 days to the event.

3. Booth Specifications: 
a) Exhibitors are responsible for ensuring their booth setup complies with the provided specifications.
b) Any additional equipment or services required must be communicated in advance.

4. Conduct:
a) Exhibitors are expected to maintain a professional and respectful environment within their booth.
b) Any activities that may cause disturbance or inconvenience to other exhibitors or attendees are prohibited.

5. Liability:
a) The event organizers are not responsible for any loss, damage, or theft of exhibitor property during the event.
b) Exhibitors are advised to secure their valuables and take necessary precautions.

6. Insurance:
Exhibitors are encouraged to have their own insurance coverage for the duration of the event.

7. Marketing and Promotion:
By participating, exhibitors grant permission to use their company name and logo for event marketing purposes.

8. Indemnification:
Exhibitors agree to indemnify and hold harmless the event organizers from any claims or liabilities arising from their participation.

9. Compliance with Laws:
Exhibitors must comply with all local, state, and federal laws and regulations applicable to the event.

By agreeing to participate as an exhibitor, you acknowledge that you have read, understood, and agree to abide by these terms and conditions.

Speakers Terms and Conditions

1. Presentation Content:
a) Speakers are responsible for the content of their presentations and must ensure it aligns with the theme and objectives of the event.
b) Any promotional content should be relevant and non-disruptive.

2. Timing and Availability:
a) Speakers must adhere to the allocated presentation time as communicated by the event organizers.
b) Availability for rehearsals, if required, must be communicated in advance.

3. Presentation Materials:
a) Presentation slides must be submitted by 30th August to ensure proper technical setup.
b) Any specific audio-visual requirements must be communicated well in advance.

4. Travel and Accommodation:
a) If applicable, travel and accommodation arrangements will be discussed and agreed upon individually.
b) Event organizers may provide support for travel expenses based on prior agreement.

5. Promotion and Marketing:
Speakers grant permission to the event organizers to use their name, likeness, and presentation materials for promotional purposes.

6. Recording and Distribution:
The event organizers may record sessions for distribution purposes. Speakers acknowledge and agree to this.

7. Compensation:
Details regarding any honorarium or compensation will be communicated separately and agreed upon in advance.

8. Attendance: 
Speakers are encouraged to participate in other event sessions and activities, fostering engagement with attendees.

9. Code of Conduct:
Speakers are expected to adhere to the event’s code of conduct, promoting a positive and inclusive environment.

10. Amendments:
The event organizers reserve the right to make changes to the agenda, including speaker schedules. Any adjustments will be communicated promptly.
